Communication Channels Overview
We know schools use many communication channels to keep parents informed, connected and engaged, and this can sometimes feel overwhelming.
School communications are complex, with requirements to support many different family circumstances. These are managed through our Student Information System (SIS), which also underpins key school operations including billing, attendance, wellbeing, academic reporting, alumni records and more.
Planned System Upgrade
We will be replacing our core SIS (TASS) which families currently access through Parent Lounge, to bring our information and communications into one streamlined, easy-to-use place. This is a big change, so we’re taking the time to plan and implement it properly.
Communications Clarity
In the meantime, we want to make it clear which channels we use today and what each one is used for.
This new Parent Hub website, which replaces all of our Sways and brings key information together in one place, is an early step toward the simpler experience we’re working towards.
MYMENTONE APP
The MyMentone app is the Parent Lounge interface (i.e. simply a window into TASS) that enables push notifications and easier access to Parent Lounge resources on mobile. It also brings other systems into one place, including:
- Clipboard (sport & SMART)
- Flexischools (lunch orders & café payments)
- SPS (student analytics)
- Payments (school website)
- Guides & Forms
- Uniform (Noone + P&F)
- Sways (no longer available – replaced by Parent Hub)
- Used for general year level/home group/school messages, notices etc
CONSENT2GO (C2G)
C2G was an urgent replacement for Operoo (ceased operations in Australia) and is essential for parents to approve student participation and provide up-to-date medical info:
- Will only be used where a permission/approval is required
- Activity details and documentation also provided with C2G where applicable
- C2G system sends multiple emails on approvals/reminders (the School has no control over this)
- On the C2G app – to view activity details once C2G completed or acceptance period expired – go to Update Response. This does not change your response unless you actively do so at the bottom of the C2G page.
- NOTE: this is the way C2G is structured – the School has no control over this.
PARENT LOUNGE (TASS)
The Parent Lounge (TASS) portal has a range of resources to help manage your personal information, communications and your child’s education. Resources include:
- Student Timetable (F – Year 12)
- Student Absences
- Email Class Teachers
- Parent/Teacher Interview Bookings
- Academic Reports
- School Fees Account & Parent Code
- Parent Details (e.g. update address)
- Parent Directory (contact details for other parents in child’s class)
- School Calendar
EMAIL (VIA TASS)
We utilise TASS to email families which ensures the correct contact rules apply for families. Information sent via email includes but is not limited to:
- Class/Mentor comms (may also be sent via app)
- Faculty comms
- Special groups (e.g. Chess group or sport team)
- Important school information (e.g. Board/Principal)
- Individual student-related comms
- Event invitations and special activities (may also be sent via app)
CANVAS (YEARS 7 – 12)
Canvas provides students in Years 7 – 12 with access to learning and teaching resources. This includes:
- Grades and Feedback
- Campus/Subject/Class Daily Notices (student access & campus digital screens)
Parents in Years 7 – 9 can also access Canvas.
PARENT HUB WEBSITE
This Parent Hub website is a repository for information to replace all Sways and provides a central location/access for information housed on different platforms:
- Creates more consistency of information
- Easier for parents with children across different campuses
- Multiple access points, simple navigation and searchable so content is easier to find
MENTONE GRAMMAR WEBSITE
The Mentone Grammar website is primarily a tool for prospective families and the wider community. Some content is applicable to current families (e.g. uniform, school bus etc) which is now accessible via this Parent Hub.
