Absences & Extended Leave
All student absences, including late arrivals and early departures and Saturday sport or SMART should be logged via the MyMentone app/Parent Lounge.
Please follow the relevant instructions below.
PLEASE DO NOT
- Leave a phone message with campuses
- Send an email to Campus PAs – they will not be able to log an absence on your behalf
- Email your child’s teacher/Mentor (excluding ELC)
- MyMentone app home screen
- Absences tile (top right)
- Complete the absence details and click +Submit New
- For students in ELC ONLY, please also email your child’s teacher.
NOTE: when you click the absences tile, you may first be prompted to login to Parent Lounge if it has been a while since you last logged in.

- Login to Parent Lounge: https://tass.mentonegrammar.net/parentlounge
- Click on the blue absences button
- Complete the absence form details and click +Submit New
- For students in ELC ONLY, please also email your child’s teacher.
We understand that students arrive late and on occasion have to depart early. Please log these via MyMentone App/Parent Lounge process outlined in the section above. On arrival/departure students should do the following:
- ELC: sign students into/out of the Centre via Digital SISO (iPads in classrooms).
- Foundation – Year 3: students must go to the Junior School Admin Office and advise they have arrived late/departing early.
- Years 4 – 6: students must sign in/sign out via the iPad located at the Junior School Admin Office.
NOTE: Junior students departing school early are not permitted to meet parents in the pick-up car park or Avenue of Honour, parents must collect their child from the Junior School Admin Office (located in the Eblana building).
- Years 7 & 8: students must sign in/sign out via the iPad located at the Bayview Admin Office.
- Year 9: students must sign in/sign out via the iPad located at the Greenways Admin Office.
- Years 10 – 12: students must sign in/sign out via the iPad located at the Frogmore Admin Office.
Saturday Sport is compulsory for all students in Years 7 – 12.
To ensure our sport program runs seamlessly and provides a positive experience for all, we have a clear absence process in place:
EXPLAINED ABSENCES
ILLNESS
If a student is unwell and unable to attend training or a Saturday fixture, parents must log the absence via the MyMentone app/Parent Lounge.
- Absences should be logged as early as possible prior to weekend fixtures.
- If absent from a Saturday fixture due to illness, a medical certificate must be provided to the Sport Department within five days.
INJURY
Injured students are expected to attend training sessions and Saturday fixtures in a support role where possible (e.g. assisting coaches or team management).
- If an injury prevents attendance, a medical certificate must be provided in advance.
- Ongoing injuries require a longer-term medical certificate and may result in an approved sport exemption.
- If students are attending but unable to participate, this must be communicated directly with the Sport Department.
APPOINTMENTS DURING TRAINING
Appointments should not be scheduled during training times.
- If unavoidable, the absence must be logged via MyMentone app/Parent Lounge as soon as possible and students must sign out at the relevant Campus Office before leaving school.
- A medical certificate must be provided to the Campus PA within 24 hours of the appointment.
ATTENDANCE EXPECTATIONS
We understand that on rare occasions, students may have a significant family commitment (e.g. weddings or important events).
- This absence must be submitted via MyMentone app/Parent Lounge by 5.00pm on the Monday prior to the scheduled weekend fixture.
- The Sport Department may follow up to confirm the commitment.
- Requests beyond one week will be reviewed on a case-by-case basis and may be referred to the Head of Campus.
TRAINING ATTENDANCE
Students are expected to attend all scheduled training sessions in line with class attendance expectations.
- If explained absence attendance falls below 80%, campus staff will follow up, and it may result in a conversation with the relevant House Coordinator and/or further consequences if non-attendance persist.
UNEXPLAINED ABSENCES
Unexplained absences from training or matches will be followed up by the Sport Department, with consequences applied by campus staff as follows:
- First offence: After-school detention
- Second offence: Saturday detention
- Third offence: Saturday detention and a meeting with campus leadership
Student Leave Outside School Holiday Periods: SHORT TERM LEAVE
Leave requests outside of school holidays must be submitted in writing and approved by the Head of Campus, wherever possible, one full term’s written notice provided prior to the proposed leave (if not a term’s notice, as much forewarning as possible).

During an approved leave of absence:
- no educational services will be provided, including liaison with external providers;
- students will retain access to Teams; and
- families will continue to receive School and campus communications.
The student will be recorded as absent for the duration of the approved leave. No adjustment to fees will be made for extended holiday absences.
Leave of Absence & Holding a Place: EXTENDED LEAVE
The School offers a maximum of two terms of approved (extended) leave of absence for the purposes of holding a place. Any leave of absence requests must be submitted in writing and approved by the Head of Campus and Principal, with at least one full term’s written notice provided prior to the proposed leave of absence.

A non-refundable holding fee of $2,500 per term applies to maintain a student’s place. Places may be held for a maximum of one semester (two terms).
During an approved leave of absence:
- no educational services will be provided, including liaison with external providers;
- students will retain access to Teams; and
- families will continue to receive School and campus communications.
The student will be recorded as absent for the duration of the approved leave.
NOTE: Families do not have the option to pay full fees to access educational services during the leave of absence, as the School is only registered to provide onsite, face-to-face teaching and learning and is not registered to provide online learning.
The Items to Action on the Parent Lounge menu will indicate a number representing notifications awaiting parent acknowledgement, such as unexplained absences or late attendance.
- All unexplained absences and late arrivals must be confirmed by a parent or carer.
- If your child is marked as late or absent, a notification will appear against Absences and Items to Action in Parent Lounge.
- By clicking Acknowledge, you can include an explanation for the absence which will be sent back to the relevant Campus PA for confirmation and acceptance into the student Attendance system.
- If an absence/late arrival is not explained or acknowledged in Parent Lounge by 9.30am, parents will receive an SMS notification to the mobile numbers registered with us.
- REMINDER: Please update your personal information through Parent Lounge if your contact details change.
- The SMS will ask you to acknowledge your child’s absence/late arrival via Parent Lounge.
- If we still do not receive acknowledgement, the absence/late arrival will be escalated, and you will receive a call to discuss.
